This Privacy Policy explains how CallSaaS ("CallSaaS", "we", "us", or "our") collects, uses, discloses, and protects personal information when you visit callsaas.io, enquire about or use our AI phone-receptionist service ("Service"). We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

This policy covers two distinct situations: (a) information about you, our website visitor or customer; and (b) information our AI receptionist processes about your callers when you use the Service.

When you use the Service, our AI receptionist answers calls to your business. In doing so it may collect and process, on your behalf, information about your callers, including:

For this call data, you (our business customer) are responsible for determining how it is used, and CallSaaS processes it on your behalf to deliver the Service (answering calls, booking appointments, sending you summaries or transcripts, and capturing leads). You are responsible for ensuring you have any necessary notices or consents in place with your callers — see our Terms of Service regarding call recording.

4. Disclosure to third parties

We do not sell personal information. We share it with trusted service providers who help us operate the Service — for example, telephony, voice-AI, calendar, payment, hosting, email, and analytics providers — who are required to protect it and use it only as we instruct. Some providers may store or process data outside Australia; where this occurs, we take reasonable steps to ensure it is handled consistently with the APPs. We may also disclose information where required by law.

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including encryption in transit, access controls, and secure hosting. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

We retain personal information, including call audio and transcripts, only for as long as needed to provide the Service, to meet your instructions as our customer, or as required by law. You can ask us about retention periods or request deletion of call data associated with your account, subject to legal requirements.

You may request access to, or correction of, the personal information we hold about you, and you may opt out of marketing at any time. If you are a caller and wish to access or correct information held about you, please contact the business you called; we will assist that business as their service provider. To make a request, contact sales@callsaas.io. You may also contact the Office of the Australian Information Commissioner (OAIC) about a privacy concern.
